Getting started

First steps

  • About 15 mins: your business, what you sell, your deposit rule, where the money lands. Then you send yourself a request to see it work.

  • Beauty businesses that take appointments: hair salons, barbers, braiders, nail techs, lash and brow artists, makeup artists and spas. Pick yours at setup and the words follow.

  • Open Services in the menu (Treatments for a spa) and add each one: a name, a price and how long it takes. If you can do more than one client at a time, say how many.

  • Nothing to set up, nothing a month, nothing per user. Your first 20 bookings are included; after that a small platform fee comes out of each online payment before it reaches you. Cash you take in person is not charged.

Requests and links

From inquiry to paid

  • Requests > New request. Pick what they want and when, add their name and number, send. They get a link, pay the deposit, and the booking confirms itself.

  • Yes. On the checkout, "Someone else is paying" makes a link good for 15 minutes. Whoever opens it sees exactly what was booked and pays; nothing can be changed.

  • A price for something bespoke: a bridal party, a home visit, a big install. Send it with a deadline; paid, it becomes the booking. Unpaid by the deadline, it lapses.

  • Yes. Your booking page is always on at your Rillo address; put it on your website, your Instagram bio, or print the QR code from Settings > Booking page.

Deposits, changes and credit

The rules

  • Every booking takes a deposit when it is made: a share of the total, non-refundable. If they do not show, it is yours. Set the deposit to 100% under Settings > Rules to take everything up front. Otherwise the rest is paid at the appointment.

  • They ask you, and you move it: to a new date or time, or into credit with you. They get the new details by email.

  • No, and neither does the platform on your behalf. A cancelled booking becomes credit at your business: one lump, used once, valid for as long as you set under Settings > Rules (10 days unless you change it).

  • The deposit is yours. Once they are late, tap No-show on the booking, and the time goes back on sale.

  • Clients, on each client, and in total under Money. A client spends it by entering the credit code on your booking page.

Money

Where it goes

  • Paystack settles online payments straight to the bank account or mobile money wallet you added under Settings > Payouts, on the next working day. A deposit paid on Friday or at the weekend lands on Monday. Every booking shows the day its money is expected. Rillo never holds your money.

  • Mobile money, bank and card, on Paystack’s secure page. In person, whatever you accept: record it on the booking.

  • Every booking shows paid and outstanding. Today lists what to collect from each client; Money shows the totals.

  • On the booking, choose Cash under Collect on arrival, then press the button that says the amount. It counts against the balance at once.

Availability

Selling elsewhere too

  • Not if you tell Rillo. Under Availability, next to what you sell, limit how many of each are sold here, or close dates you have already taken elsewhere. Either takes effect at once.

  • Set your working hours under Settings > Rules and how long each service takes. Clients pick a date and a start time, and a 4 hour install blocks the chair for 4 hours.

Team and access

Who can do what

  • Admin: everything, including payouts and team. Manager: bookings, prices, clients and setup. Staff: requests, bookings and payments on the day.

  • Settings > Team > Add. They get an email and sign in themselves. Adding people costs nothing.

  • Settings > Team > Stand down. They lose access at once, and everything they recorded stays.

Clients

Who booked, and their history

  • A request needs one, because that is where the pay link goes. A booking you take in person works without.

  • By text and by email, as soon as the booking confirms, with its reference and how to change it. Add their email when you take the booking for the email copy.

  • Clients: every booking, every payment, and any credit they hold with you.
